Is it Possible to Send Birthday Wishes to My Customers?

By Greg Morris - January 10, 2013

Absolutely! With Deal Pack’s dealer management software you have the ability to forward those greetings and best wishes quite simply via letter or email. This can also be accomplished through text messages if your subscribed with Callfire.

The first step is creating your letter or email. This can be achieved in Deal Pack’s Collection section under the Letter Writer tab. Click New and name your letter in the Description field. Select the data defaults that you wish to populate on the message by clicking the applicable check boxes. These items will appear above the body of the letter. Complete the letter contents and click Save.

Another option is to create your letter in MS Word and have Deal Pack program it as a PDF form. This method allows you to customize your message by selecting different font styles and sizes and include your company logo or other jpeg image(s) as provided for that professional touch.

Creating a Text Message is also completed in the Letter Writer section. The word Text must be included when naming the message in the Description field. Select the Text Message check box. Text messages are limited to a total of 160 characters. The message should be entered on the top line of the content section only.

Next you will create a Collection Queue based on date of birth. Click the Date of Birth check box and enter the applicable date range in the Start DOB & End DOB fields. Click the Build Queue button to compile a report of matching criteria. Proceed to the Queue tab and enter your employee number. At this point you may wish to verify the full address, email address and cell phone number appears on each customer’s account. The address and cell phone numbers are shown on the Queue window. The email address is located in the CP (Customer Profile) section.

The final step is sending the message. To send a message created in Letter Writer, click the Letter/SMS button. Deal Pack asks you to verify whether you wish to send the letter to the entire queue or just the current customer that appears on the screen. You are then prompted to select the letter to be sent and which forwarding method – send email or print letter to paper. A remark is stamped on the customer’s account indicating the message was forwarded.

To send a letter that was created as a PDF, click the PDF Letter button. Deal Pack asks you to verify whether you wish to send the letter to the entire queue or just the current customer that appears on the screen. You are then forwarded to the Forms screen to select the PDF letter to be printed to paper. A remark is stamped on the customer’s account indicating the message was forwarded.
